Who is responsible

Helsinki Geoeconomics School Ab is the controller for this reading-list nomination form and the email updates you choose to receive through it. Contact secretariat@geoeconomics.fi with questions or requests about your information. These requests are handled by the School’s designated representative.

What we use and why

We collect the book title and author or editor, its publication status, your recommendation, your connection to the book, your name and email, and any publisher link or ISBN you provide. We also record submission time, a receipt identifier, form and notice versions, and your separate choices about future emails and public quotation.

We use nomination information to assess recommendations, prepare the reading list, ask you relevant follow-up questions and send you the completed list. Our basis is our legitimate interest in administering this voluntary reader initiative. Required fields let us identify the book, understand the recommendation and contact you. If you do not provide them, we cannot process the nomination through the form. There is no legal or contractual obligation to nominate.

Future email updates are optional and based on your consent. You can withdraw that consent at any time by unsubscribing or contacting the Secretariat. Separately, if you permit quotation and attribution, we may publish your recommendation with your name in connection with the reading list. You may withdraw that permission for future use by contacting us. Withdrawal does not affect earlier lawful processing; material already circulated cannot always be recalled. Neither choice is required to nominate. Your email address will not be published.

Access, service providers and security

Access to the private nomination-review page is restricted to the School’s designated reviewer. The form and its response records use the existing Websupport hosting service; correspondence uses Microsoft 365. Submitting this form does not automatically email your nomination or transfer it to a newsletter service.

Websupport’s processing terms (Appendix A) and privacy information describe its processing and service providers. Microsoft’s Data Protection Addendum describes its processing and security commitments. Processing may take place within the European Economic Area and, through provider operations or subprocessors, outside it. Applicable transfer safeguards can include European Commission standard contractual clauses, as described in those processing terms and Microsoft’s transfer-safeguard information. Contact us for further information or a copy of the relevant safeguards.

Technical security records may include connection information in provider logs and an IP-derived rate-limit identifier used to prevent abuse. Nomination records do not store the raw IP address. This form does not require a reader account, uploads or payment details, store draft answers in your browser, use advertising pixels or send your nomination to the Hegemon subscriber service. A separate consent record is retained for each optional choice; giving consent does not publish your details or send an email immediately.

How long we keep it

We retain nomination and contact information while preparing and publishing the reading list and resolving related follow-up. The School’s designated representative reviews the records when publication and that follow-up are complete, and deletes or anonymises information that is no longer needed. A specific unresolved complaint, legal obligation or claim may require relevant records to be retained for longer. Published recommendations and agreed attribution may remain with the reading list.

If you choose future updates, we retain the contact and consent information needed to provide them until you withdraw consent or we stop the service. We may retain a minimal opt-out record to prevent further unwanted emails. Websupport’s standard hosting guidance describes a 14-day backup window. Deleted live records may persist in restricted recovery copies until those copies expire; backups are not used as a continuing mailing list. Correspondence and provider security logs follow the retention criteria for their respective purposes and applicable service arrangements.

Your rights

You can ask for access, correction, deletion, restriction or portability where applicable, and object to processing based on legitimate interests. You can also withdraw either optional consent. Contact the Secretariat, quoting your receipt number if available. You may complain to the Office of the Data Protection Ombudsman in Finland or another competent supervisory authority.

People assess the recommendations; the form does not make automated selection decisions. A reading-list recommendation is separate from a formal Baldwin Prize nomination.
