Your application information

Notice version 1.0

Who is responsible

Helsinki Geoeconomics Society r.f. is responsible for the Polanyi Cohort application and selection process. Contact the Secretariat at secretariat@geoeconomics.fi, or write to Helsinki Geoeconomics Society r.f., c/o Helsinki Geoeconomics School Ab, Iirislahdenranta 6 C 6, 02230 Espoo, Finland.

What we collect and why

The application asks for your name, email, current location, affiliation and role, field of work or study, CV, 700–1,000-word statement, interests in cohort roles and availability. You may add a profile link, work sample link, background note, practical skills, availability note and referral source. We record the submission time, form and notice versions, and a receipt number. Technical connection and security records help us operate and protect the form.

We use this information to assess applications, organise shortlisting and interviews, make cohort decisions, contact applicants and administer accepted participation. Selection is made by people. We do not use this application to add you to a marketing list.

We rely on the Society’s legitimate interests in selecting and administering participants for its activities, and in protecting the application service. We limit processing to information reasonably needed for those purposes. If a separate legal duty or agreement applies later, we will explain that in the relevant process.

Who can see it

Dr. Pohl and authorised Society selection and administration colleagues receive access to the information needed for their work. We do not publish your application. The form and protected application and CV records are hosted by Websupport. Microsoft 365 may process relevant correspondence.

How long we keep it

Withdrawn and unsuccessful applications are kept for up to 12 months after the selection process closes. Necessary records for accepted participants are kept during their cohort relationship and normally for three years after it ends. A documented legal obligation or specific dispute may require relevant records for longer. Restricted backups expire on their own cycle and are not returned to ordinary use after deletion.

Your choices and rights

Applying is voluntary; providing information is not a legal or contractual obligation. Without the required fields and materials, we cannot assess your application or respond to you. You can contact the Secretariat to correct or withdraw an application. You may also ask to access or correct your information, request deletion or restriction, object to processing based on legitimate interests, and request portability where applicable. We will explain any restriction that applies to a particular request. You may complain to the Office of the Data Protection Ombudsman in Finland. Please quote your receipt number when you have one.

Technology

This form uses no advertising pixels, third-party analytics or persistent browser storage for your answers. Its current implementation does not use browser cookies. Your answers and CV are saved when you submit them successfully; the confirmation page then displays a receipt number. Hosting security logs and protected administrator sign-in operate separately.
